## Skill Description

Plans and produces company offsites and all-hands events that align teams on strategic priorities, strengthen cross-functional relationships, and energise the organisation for the next operating period.

## When to Use

- The annual or semi-annual company offsite is due and planning must begin 3-4 months in advance.
- Leadership decides to hold an unplanned offsite following a major strategic shift, acquisition, or reorganisation.
- Employee engagement data indicates alignment or morale gaps that an in-person gathering could address.
- A distributed team that has never met in person needs a structured gathering to build working relationships.

## Workflow

1. Define the offsite objectives with leadership: strategic alignment, team building, planning, celebration, or a combination. Lock the dates and headcount.
2. Source and evaluate venue options using the selection criteria in `references/framework.md`. Require a composite score ≥ 3.5/5 to shortlist. Negotiate contracts and secure the booking.
3. Design the agenda in collaboration with leadership following the 60/40 structure and energy management principles in `references/framework.md`: balance strategic sessions, workshops, social activities, and free time. Assign session owners and facilitators.
4. Plan logistics: travel arrangements, ground transportation, dietary requirements, accessibility needs, and emergency contacts.
5. Brief session owners on format expectations, time limits, and required pre-reads. Distribute the agenda and pre-read materials to all attendees at least two weeks before the event.
6. Coordinate AV setup, room layouts, signage, and branded materials with the venue and design team.
7. Execute the event: manage the run-of-show, handle real-time schedule adjustments, troubleshoot logistics, and ensure sessions start and end on time.
8. Collect attendee feedback within 48 hours via a structured survey covering content quality, logistics, and suggestions.
9. Compile a post-offsite report using `assets/offsite-plan-template.md`: key decisions made, action items with owners, feedback summary, budget actuals vs. plan, and recommendations for the next offsite. Use `references/checklist.md` to verify all post-event steps are complete.

## Anti-Patterns

- **Packing the agenda with back-to-back presentations and no interaction time.** *Why*: Offsites that feel like day-long all-hands meetings waste the in-person opportunity; the value is in conversations, not slides.
- **Starting planning less than 8 weeks before the event.** *Why*: Venue availability, travel logistics, and visa requirements for international teams need lead time; rushed planning inflates costs and creates gaps.
- **Skipping post-event action item tracking.** *Why*: Decisions made at offsites that are not documented and assigned decay within weeks, making the event feel like wasted time.
- **Ignoring accessibility and dietary needs.** *Why*: Excluding team members from activities or meals signals that inclusion is not a priority and damages the culture-building purpose of the event.
- **Letting sessions run over without enforcement.** *Why*: One session overrun cascades through the entire agenda, cutting into the activities attendees value most.

## Output

**Success artifacts:**
- Offsite brief with objectives, agenda, and logistics plan
- Venue contract and travel logistics package
- Run-of-show document with minute-by-minute schedule
- Post-offsite report with decisions, action items, feedback summary, and budget reconciliation

**Failure reporting:**
- Flag venue or travel issues that threaten attendance at least 4 weeks before the event
- Escalate budget overruns exceeding 15% to the operations lead before committing additional spend
